Sguild Finance Privacy Policy

This Privacy Policy explains how Sguild, LLC collects, uses, stores, and shares information through the Sguild Finance application. Sguild Finance is an internal finance reporting and bookkeeping integration application used by authorized Sguild personnel.

1. Information We Collect

We may collect and process the following information:

  • Account and authorization data, including user identifiers, organization identifiers, OAuth realm IDs, access tokens, refresh tokens, and token metadata.
  • Accounting and bookkeeping data from connected services, including chart of accounts, account balances, categorized transactions, reports, vendors, customers, payments, deposits, transfers, journal entries, and related metadata.
  • Operational finance data, including cash-balance entries, imported payout records, payroll-related summaries, expense classifications, reconciliation status, and dashboard metrics.
  • Technical and security data, including IP address, request metadata, browser or device metadata, authentication state, access logs, error logs, and audit events.
  • Support and communications data, if you contact us about the application.

2. How We Use Information

We use information to:

  • Connect to authorized finance, accounting, banking, and payment services.
  • Sync, classify, reconcile, and report bookkeeping and finance data.
  • Provide cash visibility, operating-expense visibility, pipeline visibility, and finance reporting.
  • Maintain security, prevent unauthorized access, debug issues, and monitor system reliability.
  • Comply with legal, tax, accounting, audit, security, and business-record obligations.

3. QuickBooks Data

If you connect QuickBooks Online, Sguild Finance may access QuickBooks accounting data authorized through the QuickBooks OAuth flow. This may include reports, chart of accounts, transactions, vendors, customers, account balances, and related accounting records. We use QuickBooks data only to support Sguild bookkeeping, reporting, reconciliation, and internal finance operations.

4. Data Sharing

We do not sell personal information or finance data. We may share information with service providers that help us operate the application, including cloud hosting, databases, authentication, accounting, payments, banking connectivity, monitoring, security, and support providers. We may also share information with accountants, bookkeepers, legal advisors, tax advisors, auditors, or government authorities when needed for legitimate business, compliance, legal, or tax purposes.

5. Data Storage and Security

We use administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, or alteration. These safeguards may include HTTPS transport, access controls, secret management, database security controls, logging, and restricted operator access. No system can be guaranteed to be completely secure.

6. Data Retention

We retain information for as long as reasonably necessary for finance operations, accounting records, reconciliation, audit, legal, tax, security, and business purposes. We may retain backups, logs, and records where required or permitted by law.

7. Your Choices

Authorized users may disconnect third-party integrations where the application provides that control, or by revoking access in the connected provider account. Some records may remain in Sguild systems where needed for accounting, audit, tax, legal, security, or business recordkeeping.

8. International Processing

Sguild is based in the United States. Information may be processed in the United States or in other locations where our service providers operate.

9. Changes to This Policy

We may update this Privacy Policy from time to time. The updated date at the top of this page shows when it was last revised.
